The ability to relate people or places records & maintain hospital affiliations.
Permissions & Restrictions
Permissions
Affiliations can be viewed and maintained according to the edit rights of a profile. If the user has access to view and edit the profile, they can view and edit the affiliations.
Term Definitions
Product Access refers to the product you have permissions for, PRM, Recruit, and Onboard. People and Place records are also assigned this access to help define which records should show for which product.
Note: If your account only has access to one core product, all records will be assigned to this product.
Restrictions or Pre-Requisites
Affiliations can be added by any user, but they are product-specific.
Example: A PRM user can add only PRM-related profiles as affiliations.
Affiliations Tab
The Affiliations tab under the People and Place profile is the new home for all related people, places, and hospital affiliations. The Affiliations landing page will show the People, Place, and Hospital Affiliations record in a list view.
There are 3 quick list view options: Affiliated Places, Affiliated People, and All Affiliations. The default is set to “All Affiliations”.
Affiliations List View — Functions
The affiliations list view provides the details of affiliations based on the profile type. The default columns of the list view will be Type, Name, City, State, ZIP, Primary, and Secondary. Any other columns can be added by using the Edit Columns button available on the top right corner of the list grid. Some of the columns will be available based on the product permissions of the user.
Users can filter and sort the records for each column on the list grid. Users can also filter the records based on the Search option provided. The search can be performed based on Name, Practice Manager, Recruiter, Onboarding Coordinator, and Relationship Manager.
Action Menu provides the capability of removing the records in bulk and exporting the list in excel. It gets enabled only when the user selects one more more records in the list view.
Add & Edit Affiliation — From People Profile
A user can add an affiliation of type People or Place (Including Hospitals) from People Profile. This can be done by clicking the Add Affiliation button available on the top right corner of the list grid in the Affiliations tab.
On clicking the Add Affiliation button, a form will be displayed where the user can choose the type of affiliation as Person or Place. On selecting Person, Person Type and Name fields will be displayed.
If Person Type is selected, then the name field will show the names based on type. Users can choose Physician, Advanced Practice Provider, Allied Health Professional, Staff, and Other person type. Name can also be searched without selecting person type.
The name field will show the specialty while searching in the case of physicians and Providers and will show designation in the case of Staff.
Save and Cancel buttons on the form allow the user to Save the form or cancel the addition of affiliation. On Save, the affiliation record will be displayed in the list grid. The person record will not be editable from the person profile.
On clicking the Add Affiliation button, if the user selects affiliation type as Place then Place Type and Name fields will be displayed. If the user selects place type, then the name field will show the names based on the type of Group Practice, Health System, Hospital, Post-Acute Care, Urgent Care, and Other Place type. The place name can be searched without selecting a place type.
If the place type is selected, users can indicate the Relationship Type and Notes as well as Privilege, Effective Date, Renewal Date, and FTE Status. There will be options to select Place as Primary Location, Secondary Location, or Is Neither. Neither will be selected as default.
The name field will show the address while searching.
Save and Cancel buttons on the form allow the user to Save the form or cancel the addition of affiliation. On Save, the affiliation record will be displayed in the list grid. The user will be able to edit the Place record from the People profile.
Points to remember:
- If Primary is selected and if the person profile already has a primary place affiliation, then the new place will become Primary and the place which was Primary earlier will be affiliated to profile as Is Neither. If Primary is selected and if the person profile doesn’t have a primary place affiliation, then the place will become Primary for the person profile.
- If Secondary is selected and if the person profile already has a secondary place affiliation, then the new place will become Secondary and the place which was Secondary earlier will be affiliated to the profile as Is Neither.
- If Secondary is selected and if the person profile doesn’t have secondary place affiliation, then the place will become Secondary for the person profile.
- Any number of unique Place profiles can be affiliated to a Person marking it as Primary or Secondary.
- The same Place cannot be affiliated again to the same Person profile.
- While editing, if the user tries to change the affiliation from Primary to Secondary or vice versa, it will be changed, and the previously added one will be reassigned as is neither affiliation.
- The Person from where the place affiliation was initiated will appear in the affiliations list of the Places profile.
- Editing the individual record can be done using the options in ellipses.
Note: The edit option is not available on the Affiliated Person in People profile.
Add/Edit Affiliation — From Place Profile
A user can add an affiliation of type people or place (including hospitals) from a place profile. This can be done by clicking the Add Affiliation button available on the top right corner of the list grid in the Affiliations tab.
On clicking the Add Affiliation button, a form will be displayed where the type of affiliation can be chosen as a person or place. On selecting a person, the person type and name fields will be displayed. There will be options to select Primary, Secondary, or Neither. Neither will be selected as default.
If Person Type is selected, then the name field will show the names based on type with options Physician, Advanced Practice Provider, Allied Health Professional, Staff, and Other. Name can also be searched without selecting person type. The name field will show the specialty while searching in the case of physicians and Providers and will show designation in the case of Staff.
Save and Cancel buttons on the form allow the user to Save the form or cancel the addition of affiliation. On Save, the affiliation record will be displayed in the list grid. The user will be able to edit the Person record from the Place profile by choosing the Edit option from ellipses in the List view.

- If Primary is selected and if the person profile which is being affiliated already has a primary affiliation, then the new place will become Primary and the place which was Primary earlier will be affiliated to the profile as Is Neither.
- If Primary is selected and if the person profile that is being affiliated doesn’t have a primary affiliation, then the place will become Primary for the person profile.
- If Secondary is selected and if the person profile being affiliated already has a secondary affiliation, then the new place will become Secondary and the place which was Secondary earlier will be affiliated to the profile as Is Neither.
- If Secondary is selected and if the person profile being affiliated doesn’t have a secondary affiliation, then the place will become Secondary for the person profile.
- Any number of unique Person profiles can be affiliated to a Place as Primary or Secondary.
- The same Person cannot be affiliated twice to the same Place profile.
- While editing, if the user tries to change the affiliation from Primary to Secondary or vice versa, it will be changed, and the previously added affiliation will be reassigned as Is Neither.
- The Place from where the person affiliation was initiated will appear in the affiliations list of the Person profile.
On clicking the Add Affiliation button, if the user selects affiliation type as place, then the Place Type and Name fields will be displayed. If the user selects Place Type, then the Name field will show the names based on the type of Group Practice, Health System, Hospital, Post-Acute Care, Urgent Care, and Others. The name can be searched without selecting the Place type.
If the Place type is selected as anything other than Hospital, then the form will have Relationship Type and Notes fields.
The name field will show the address while searching.
If the place type is selected as Hospital, then the form will have Privilege, Effective Date, and Renewal Date fields.
Save and Cancel buttons on the form allow the user to Save the form or cancel the addition of affiliation. On Save, the affiliation record will be displayed in the list grid. The user will be able to edit the Place record from the Place profile by choosing the Edit option from ellipses in the List view.
Editing the individual record can be done using the options in ellipses.
Remove Affiliation
Affiliations can be removed individually by selecting the remove option from the ellipses available for the individual record. Once the affiliation is removed, it will no longer be displayed in the list view.
Affiliations can be removed in bulk from the Action Menu. One or more records can be selected then remove can be selected from the Action Menu.
Export Affiliation Records
Records in the Affiliations list view can be exported in the XLS format by using the export option in the action menu. One or more records can be selected from the list and can be exported.
Primary Affiliations on the People List
Primary affiliations can be viewed from the people list. Available columns include primary affiliation name, affiliation address, affiliation city, state, and zip.
